Be the Welcome Behind the Work!

At Quiddity, great work starts with great people—and sometimes, it starts at the front desk! We’re looking for a friendly, organized, and proactive Front Desk Administrator to join our Austin team and help create a positive experience for everyone who walks through our doors or calls our office.

As the face and voice of our office, you’ll play an important role in making visitors feel welcome, keeping our team connected, and ensuring our day-to-day operations run smoothly. From coordinating meetings and supporting office events to tackling administrative projects and helping colleagues across departments, no two days will look exactly the same.

If you enjoy building relationships, staying one step ahead, and being the go-to person who keeps things moving, this could be the perfect opportunity for you!

Responsibilities

Make a Great First Impression

  • Welcome visitors, greet clients, and assist callers with warmth and professionalism.
  • Coordinate visitor check-in, verify identification, and notify team members of arrivals.
  • Serve as a helpful resource for company information, office locations, employee contacts, and general inquiries.
  • Manage incoming calls, direct inquiries to the right people, and ensure messages are delivered promptly.

Keep the Office Running Smoothly

  • Coordinate incoming and outgoing mail, package deliveries, express shipping, and document reproduction or binding requests.
  • Manage conference room calendars, coordinate meeting equipment, and arrange catering for meetings.
  • Monitor office supplies, manage departmental requests, and help ensure our team has what it needs to succeed.
  • Maintain key card and company vehicle logs and coordinate building access as needed.
  • Partner with facilities and IT to address maintenance needs, troubleshoot office equipment, and keep our workspace running efficiently.

Support the Team and Bring People Together

  • Provide administrative support to various departments through copying, filing, document preparation, and special projects.
  • Help plan company events, office celebrations, and team activities that bring our people together.
  • Maintain office calendars, directories, and other administrative records.
  • Coordinate front desk coverage and help train backup staff to ensure a consistent, welcoming experience.
  • Look for ways to stay organized, anticipate needs, and make everyday office operations easier for everyone.

Qualifications

What You Bring to the Team

  • An associate degree and at least one year of relevant experience, or three years of professional experience in a corporate office environment.
  • A friendly, approachable personality and a genuine passion for helping people.
  • Strong communication skills and the ability to interact professionally with visitors, clients, and colleagues at all levels.
  • Excellent organizational skills, attention to detail, and the ability to juggle multiple priorities without missing a beat.
  • Proficiency in Microsoft Office, especially Outlook, Excel, and Teams.
  • A proactive, team-first mindset and the ability to take initiative while knowing when to ask questions.
  • A willingness to pitch in, adapt to changing priorities, and help wherever needed.

Bonus points if you have:

  • A bachelor's degree.
  • Previous experience in reception, customer service, office administration, or a professional services environment.
  • Experience supporting office operations, coordinating events, or working with facilities and building management.
